WordPress API integration that connects your site to the systems you run

We connect WordPress to outside systems through REST and other APIs: CRMs, payment gateways, ERPs, couriers, booking tools and your own software. It suits businesses that retype data between systems, or need their website to send and receive information automatically and reliably.

Websites that need to exchange data with other software

A lot of websites are islands. A form is filled, an email arrives, someone copies the details into a CRM, and an hour later someone else updates a spreadsheet.

API integration removes that copying. When a lead submits a form, a record appears in your CRM with the right owner. When a payment clears, the order moves on. When stock changes in your system, the website reflects it.

An API, or application programming interface, is simply a defined way for one program to ask another for data or to send it. WordPress has its own REST API and can call the APIs of other services. Done well, the connection is invisible. Done badly, it fails silently, duplicates records or exposes secrets, which is why this is a development task and not a plugin install.

With 18+ years of building sites and software, we have connected WordPress to a wide range of tools. The pattern repeats: the technology is rarely the hard part. The hard part is agreeing what counts as the same customer, what happens when the other system is down and who is told when something breaks.

Typical integrations

Connections we build most often.

CRM and lead routing

Forms and enquiries pushed to systems such as HubSpot, Zoho or Salesforce with owner assignment and source tracking.

Payments and invoicing

Gateway callbacks, order status updates and accounting links for stores and service bookings.

Shipping and fulfilment

Courier booking, tracking numbers and status feeds sent back to customers.

ERP and inventory

Stock, prices and orders synced between your business system and the site.

Booking and calendars

Appointments from the site written to calendars or practice software.

Custom apps and data feeds

Your own platform's data shown on the site, or site data sent to your app. See API development and integration.

Why trust this team with your build

For WordPress API Integration, projects live or die on maintainability. Here is what stands behind the delivery.

Experience

Hands-on experience

500+ websites and web applications delivered over 18+ years for clients in 48 countries, the experience behind your WordPress API Integration project.

Expertise

Certified expertise

For WordPress API Integration, engineering is planned together with SEO, speed and reporting, so what ships is findable, fast and measurable rather than just finished.

Authoritativeness

Recognised work

Led by Junaid Tariq, a National Level Award Winner in Digital Marketing who also builds WordPress plugins, CRMs and web applications. See the about page.

Trustworthiness

Transparent by default

A written scope and milestones before build, code and documentation handed over at the end and hosting or domain accounts kept in your name.

Deciding what moves, how often and in which direction

Before any code, we decide the shape of each data flow.

One-way flows, such as website to CRM, are simpler and safer.

Two-way flows, where either system can change a record, need rules for conflicts: which system wins when both changed the same field? We choose, document and test it.

Frequency matters too.

Some data should move instantly, such as a payment confirmation. Other data, like a nightly stock update, is better in batches that do not strain either server.

Webhooks let the other system tell WordPress when something changes, while scheduled jobs pull data on a timetable.

Many projects use both.

We also think about volume and limits.

Many APIs restrict calls per minute, and a promotion that triples traffic can hit those limits unexpectedly. Queues smooth the load so nothing is dropped when demand spikes.

Contents of an integration project

What a finished integration project contains.

  • Integration specificationA short document of data fields, triggers, direction of sync and error rules, agreed before coding.
  • Secure authenticationAPI keys, OAuth or tokens stored safely outside the public code, with permission scopes kept minimal.
  • Mapping and transformationFields matched between systems, including formats for phone numbers, currencies and dates.
  • Queues, retries and logsFailed calls retried sensibly and every request recorded so problems can be traced.
  • Admin visibilityA screen or report for your team to see sync status and re-run failed items.
  • Testing evidenceTest cases against sandbox accounts, plus a controlled live trial.
  • Documentation and handoverPlain-language notes on how data moves, for your staff and any future developer.

Integration workflow

We keep the order strict because data problems are expensive to undo.

  1. Map the processWe follow one record through your business, such as an enquiry from first click to closed deal.
  2. Check the APIWe read documentation, limits and authentication, and test a sandbox before promising anything.
  3. Design the data flowTriggers, fields, duplicates and failure handling are written down and approved.
  4. Build as a pluginCode goes into a dedicated plugin, not the theme, so it survives redesigns. Approach follows our plugin API integration practice.
  5. Test with sample dataEdge cases, bad input and outages are simulated in a staging environment.
  6. Go live and monitorControlled launch, alerting and a review after real traffic has passed through.

Pricing factors and honest alternatives

Cost depends on the quality of the API you are connecting to, the number of data flows, whether sync is one-way or two-way, volume, authentication complexity and how much error handling and reporting you want.

A well-documented API with one flow is a small job.

A legacy system with poor documentation and two-way sync is a large one. We quote after reading the documentation, in USD for overseas clients.

You do not always need custom code.

Many CRMs and tools have ready connectors or can be linked through an automation platform, and for a simple form-to-CRM link that is cheaper and fine.

We build custom when volume, reliability, security or special rules make a ready connector risky.

For systems beyond WordPress, such as a full PHP or Laravel back end, see PHP API development and Laravel API development.

Integration mistakes worth avoiding

The usual sources of silent failure.

No failure plan

When the other system is down, requests vanish. Queues and retries prevent lost leads.

Keys in the theme

Credentials in public or shared code are a security incident waiting.

Duplicate records

Without matching rules, every sync creates another contact.

Calling APIs on page load

Slow external calls make pages crawl. Work belongs in the background.

Undocumented flows

When the developer leaves, no one knows how data moves.

Proof by method: making the connection visible

An integration is working only if you can see it.

  • Reconciliation countsRecords created on the website compared with records received by the other system.
  • Error reportingFailures listed with reason and time, with alerts to a named person.
  • Latency checksPage speed tested with the integration active, see how to build a secure PHP API for the principles we apply.
  • Security reviewSecrets, permissions and endpoints checked against the practices in our WordPress security work.
  • Stakeholder sign-offYour team verifies sample records in their own system before full launch.

Lahore team, shared channels, named contacts

Our developers are based in Gulberg III, Lahore, with overlap hours for clients in Europe, the Gulf and North America.

Integration work needs quick answers about the systems involved, so we set up a shared channel, typically email plus WhatsApp or Slack, and name one contact on each side.

Proposals and invoices are in plain English, and USD for overseas clients.

Where the other system belongs to a vendor, we handle the technical conversation with their support so your team is not stuck in the middle.

FAQ

Frequently asked questions

Straight answers before you get in touch.

What is a WordPress API integration?

It is a connection between your WordPress site and another system so data moves automatically. Examples include sending form leads to a CRM, updating order status from a courier, or showing live data from your own application.

Can't I just use a plugin or Zapier?

Often yes, for simple flows. Custom integration makes sense when you need reliability at volume, special rules, tighter security or two-way sync. We tell you honestly when a ready connector will do.

Is it safe to connect my site to my CRM?

It is when done properly: credentials stored securely, minimum permissions, encrypted connections and logging. We follow secure practice and recommend keeping the site updated through WordPress maintenance and support.

Will integrations slow my website?

Not if built well. External calls run in the background where possible, so visitors never wait on another server. We test speed with the integration switched on.

Does this work with WooCommerce or membership sites?

Yes. Orders, customers and subscriptions are common integration points. See WooCommerce development and membership and LMS websites for context.

How do I start?
