ERP integration & migration without losing a single record

ERP integration & migration covers two jobs: connecting your ERP to the other systems you run, such as online stores, banks, couriers and CRMs, and moving your data from old software or spreadsheets into a new ERP. It suits companies whose systems do not talk to each other or who are changing platforms.

Two separate jobs that get confused

Integration keeps two live systems in step. Migration moves data once, from an old home to a new one.

Teams often treat them as one task and end up with a half-working connection and half-loaded history. They need different skills and different tests.

Integration is mostly about behaviour over time. When an order is cancelled in the store after it was invoiced in the ERP, what happens? When a courier updates tracking twice, which update wins? When the connection drops for an hour, are the missed events replayed or lost? We design for those cases because they are what break a sync at two in the morning.

Migration is mostly about data quality. Years of free-text customer names, duplicate items, unit mismatches and opening balances that do not tie out do not become clean because they are copied faster. We profile the data first, agree rules for fixing it, rehearse the load and reconcile it with your accountant before anything goes live.

Both jobs sit alongside the platform work described in custom ERP development and, for packaged systems, Odoo ERP development.

Connections we build most often

Each is scoped on its own so you pay for the ones you need.

Online stores

Orders, customers, prices and stock between the ERP and Shopify, WooCommerce or a custom store.

Couriers and logistics

Shipment booking, label printing, tracking and cash on delivery settlement.

Banks and payment gateways

Statement import, payment matching and payout reconciliation, depending on what your bank or provider exposes.

CRM and marketing tools

Leads and customers synced both ways, with a single customer record. Related to our retail POS & ERP work.

Devices

Barcode scanners, biometric attendance terminals and weighbridge or machine data.

Reporting layers

A read-only copy of data feeding dashboards in Looker Studio, Power BI or Metabase.

Trustworthiness

Transparent by default

A written scope and milestones before build, code and documentation handed over at the end and hosting or domain accounts kept in your name.

Method for integration projects

The order matters more than the speed.

  1. Interface inventoryWe list each system, its data owner, available API, rate limits and the events that must cross.
  2. Data contractWe define fields, identifiers, direction of sync, conflict rules and what counts as success.
  3. Build with sandbox testingConnectors are built against test accounts and run with realistic edge cases such as cancellations, partial refunds and duplicates.
  4. Monitoring and alertsEvery sync writes a log, failures raise alerts and failed items can be retried safely.
  5. Pilot and cut-overA limited live pilot comes first, then full volume once the logs stay clean.
  6. Documentation and handoverDiagrams, credentials handling, runbook and a clear owner for each connection.

Migration plan: what we do before any load

Migration rewards patience. This is our usual run of work.

  • Data profilingWe analyse duplicates, blanks, formats and orphan records in each source table or file.
  • Cleaning rulesItem codes, units, party names and addresses are standardised by agreed rules, with your team approving exceptions.
  • Mapping documentEach source field is mapped to a destination field, including transformations and defaults.
  • Trial migrationsAt least two rehearsals into a test system, with error reports reviewed each time.
  • ReconciliationTrial balance, receivables, payables and stock value are compared with the source to the last unit.
  • Cut-over rehearsalA timed plan for freezing the old system, final load, checks and switching users.
  • Archive of the old systemA read-only copy or export is kept so history can be consulted later.

Systems we connect to, by interface

Possibilities depend on what each system exposes.

System type
Typical interface
Notes
Modern SaaS platforms
REST API and webhooks
Limits and fields vary by plan, so we verify the current documentation
Odoo and ERPNext
Built-in APIs, custom modules
Stable if versions are managed; see ERPNext implementation
Legacy desktop software
Database access, file export or a bridge service
Depends on vendor terms and data structure
Banks
Statement files or bank API where offered
Availability differs by bank
Spreadsheets
Structured import with validation
Needs cleanup before load

Real situations these projects solve

A trading company sells through its own store and a marketplace, ships with two couriers, and keeps accounts in an ERP.

Without integration, someone copies orders into the ERP each evening, stock goes wrong across channels and cash on delivery payments return from couriers weeks later with no match to invoices.

With a connector, orders arrive as they are placed, stock updates both ways and courier remittance files are matched to orders automatically.

A manufacturer with a fifteen-year-old desktop system wants to move to a modern ERP.

The old software holds duplicated items, three spellings of the same customer and balances that nobody has reconciled for years.

The migration is mostly an exercise in agreeing what is true.

We produce lists of conflicts, your team decides, and the final load starts from a clean position.

Neither case needs exotic technology. Both need patience, logging and an owner who signs off each stage.

Risks we plan around

Most failures are predictable.

Silent sync failures

Every sync is logged, and failures produce alerts instead of quiet gaps.

API changes by third parties

We note platform change notices and test connectors after updates.

Credentials and secrets

Keys are stored outside code, rotated and limited to what each connector needs.

Cut-over errors

A rehearsed plan with a rollback path protects live trading.

Unclear ownership

Each connection has a named business owner and a technical owner.

Integration and migration quote drivers

Integration cost follows the number of systems, the direction and frequency of sync, and the amount of business logic between them.

Migration cost follows the volume and mess of the data, the number of rehearsals and the depth of reconciliation.

We estimate each part separately after a short audit and share the assumptions in writing.

Delays usually come from access, not coding: waiting for API credentials, an old vendor's export, or a decision on which duplicate is correct. If you have those in hand at the start, the project moves faster.

Timing cautions and evidence of a clean result

Do not migrate in the middle of a financial year-end or a peak trading month unless you must.

If your old system is stable and the only complaint is a missing report, a custom export may solve it without a full move.

Our note on ERP implementation mistakes to avoid covers other timing errors.

We prove integration with logs that show each event, its result and any retry, and prove migration with signed reconciliation sheets that your accountant reviews.

Related sector examples include hospital management system and school management system projects, where records move between old tools and new ones.

FAQ

Frequently asked questions

Straight answers before you get in touch.

Can you connect an old desktop accounting package to a new store?

Often yes, by reading its database or scheduled exports through a bridge service. It depends on the vendor's terms and data structure, so we run a feasibility check before committing.

How do you stop duplicate orders when a sync retries?

Each record carries a unique reference, and the connector checks it before creating anything. Retries update the existing record instead of adding a second one.

How long does an ERP data migration take?

It depends on volume, cleanliness and the number of rehearsals. Cleaning is normally the longest part. We provide a plan with dated milestones after the data audit.

Will we lose historical data during migration?

No, provided it is mapped and reconciled. Where moving everything is impractical, we load opening balances and keep a read-only archive of the older detail.

Do you integrate systems you did not build?

Yes. We have worked with packaged and custom platforms, and we begin with a short review of their APIs and constraints.

Who monitors integrations after launch?

We can, under ERP support & maintenance, with alerts, retries and updates when a connected platform changes its API.

Can integration be done without changing our ERP?

Often yes, through its API or database interfaces. Where the ERP has none, we may need a small extension or a bridge service, which we confirm in the feasibility review.
