An inventory & warehouse management system that makes stock numbers believable

An inventory & warehouse management system records every receipt, issue, transfer and count, so you know what you hold and where. We build it for distributors, retailers, manufacturers and ecommerce sellers whose stock sits in spreadsheets, notebooks and the memory of one storekeeper.

By Junaid Tariq Reviewed October 2026

  • Live stock by item, batch and location across warehouses and shops
  • Barcode receiving, picking and cycle counting that staff can learn quickly
  • Reorder alerts and stock ageing reports that cut dead stock

The cost of not trusting your stock figures

Every business with physical goods has met the same scene. The system says twelve units, the shelf has nine, and the customer is waiting.

Sales promise stock that does not exist, purchasing buys what was already in a back room, and finance writes off losses nobody can explain. The root cause is rarely theft. It is usually missed entries: a transfer between stores that nobody recorded, a return put back on the wrong shelf, a purchase received twice.

A good warehouse system makes the correct action the easy action. Goods are received against a purchase order, put away to a bin, picked against a sales order, and every step takes a scan or a tap. Counts happen continuously in small sections instead of in a painful annual shutdown.

We design these systems for traders, wholesalers, pharmacies, spare parts dealers, ecommerce brands and factories across Pakistan and for exporters shipping abroad. For details of the features buyers usually ask about, read inventory management software features and pricing factors.

Core functions we build

The feature list is shaped by your goods, space and staff skills.

  • ReceivingGoods receipt against purchase orders, quality checks, discrepancies and supplier returns.
  • Locations and binsWarehouses, zones, racks and bins, with put-away rules and suggested locations.
  • Batch, lot and expiryTracking for goods that expire or need traceability, with first-expiry-first-out picking.
  • Picking and dispatchPick lists, packing, dispatch notes and courier handover for online and wholesale orders.
  • Stock transfersBetween warehouses, shops and branches, with in-transit status and receiving confirmation.
  • Reorder rules and alertsMinimum levels, lead times and suggested purchase orders by item or supplier.

Rollout without stopping operations

Warehouses cannot close for software, so we phase the switch.

  1. Layout and flow reviewWe visit or video-walk the warehouse, map the physical flow and note where errors currently occur.
  2. Item and location cleanupDuplicate items, inconsistent units and unlabelled shelves are fixed before data goes in.
  3. Opening stockA full count, supervised against the new system, creates a trusted starting point.
  4. Daily transactionsReceiving, issues and transfers start in one warehouse, with a short daily check of differences.
  5. Barcode and device rolloutLabels, scanners or phones are introduced once staff are comfortable with the flow.
  6. ExpansionOther warehouses, shops and sales channels join, followed by reporting and reorder logic.

Receiving, put-away and picking in practice

The daily discipline is simple to describe.

Goods arrive and are checked against a purchase order. Each carton or pallet is assigned a location and labelled.

Orders generate pick lists sorted by location so staff walk a sensible route.

Anything that leaves the warehouse leaves with a scan or a signed entry.

Where we see the most trouble is returns.

A returned item must be inspected, classified as resaleable, repairable or scrap, and placed in the right status. If returns go straight back on the shelf, stock accuracy collapses.

We build the return flow as carefully as the receipt flow.
For ecommerce sellers who ship by cash on delivery, returned parcels are a daily event.

A clear returned-to-origin process, with scan-in and condition grading, keeps your online catalogue honest.

Hardware and platform choices

We keep the setup practical, not fancy.

Drivers of price and schedule

We quote after seeing your warehouse and data.

Item and variant count

Thousands of variants need disciplined naming and import tools.

Warehouse complexity

One room with shelves is simple. Multiple sites with bins, zones and transfers are not.

Batch and expiry rules

Pharma, food and cosmetics need stricter traceability.

Sales channels

Web store, marketplace, shops and wholesale each need stock synced.

Hardware

Scanners, printers and tablets add procurement and training.

Integration depth

Links to accounting or a retail POS and ERP take design and testing.

Reorder logic that respects reality

Automatic reorder suggestions are only as good as the lead time and demand data behind them.

We start with simple minimum and maximum levels by item, then refine with supplier lead times and sales history.

Suggestions go to a buyer for approval rather than creating orders automatically, since promotions, seasons and supply problems always need human judgement.

Items that have not moved for a long time appear in an ageing report, so slow stock can be discounted, returned or bundled before it ties up more cash.

Stock problems software will not solve

A system cannot fix a warehouse where goods are stored anywhere and received without paperwork.

It will only record the disorder. Before software, someone needs authority to label shelves, restrict access to the store and require paperwork for every movement.

We also caution against complex bin-level tracking for tiny stores where one person knows every item.

A simple stock list with reorder alerts is cheaper and just as accurate.

If you are unsure, read our guide to ERP implementation mistakes and talk to us before you buy hardware.

Showing the improvement with your own numbers

The measure of success is the gap between what the system says and what the shelf holds.

We take a baseline count of a sample of items before launch, repeat it a few weeks after launch and again later, and show you the variance.

We also look at orders shipped late because of stock errors, supplier returns processed on time, and how much slow stock has accumulated.

Staff training is where warehouse projects succeed or stall.

We train receivers, pickers and supervisors separately, with practice on real stock, and we give supervisors a daily exceptions list so problems are fixed the same day instead of at the next count.

Clear ownership of each zone also helps: when a shelf has a named keeper, accuracy improves without any software feature.
We do not promise a percentage reduction in shrinkage, because it depends on your staff, premises and products.

We do promise traceability: when a number is wrong, you can see who moved what and when.

The system links naturally to manufacturing ERP if you produce, to the accounting and finance ERP module for valuation, and to the HR and payroll system for staff permissions and shifts.

FAQ

Frequently asked questions

Straight answers before you get in touch.

Can I run the system on mobile phones in the warehouse?

Yes. A responsive web app works on phones and tablets, and the camera can scan barcodes or QR codes. For high-volume receiving, dedicated scanners are faster. We test both on your actual shelves and lighting.

Does it support multiple warehouses and shops?

Yes. Each location has its own stock, with transfers recorded and in-transit quantities visible. Permissions limit who can adjust stock in which location.

Can it sync with my Shopify or WooCommerce store?

Yes, through APIs or webhooks, so sales reduce stock and stock levels update the store. Behaviour during sync failures is planned and logged so overselling is visible quickly.

How do you handle expiry dates?

We track batches with expiry, and picking suggests the earliest-expiring stock first. Alerts warn about items approaching expiry so they can be discounted or returned.

What valuation methods can you support?

Common methods such as average cost and first-in-first-out can be configured. The right one depends on your accounting policy, so confirm it with your accountant.

Is my existing spreadsheet data usable?

Usually, after cleaning. We standardise names and units, remove duplicates and reconcile against a physical count before loading it as opening stock.
