CRM data migration that moves your history, not your mess
We move contacts, companies, deals, notes, files and activity history from spreadsheets, old CRMs or custom databases into a new CRM, with cleaning, mapping and verification at every stage. It suits companies switching platforms, merging systems or leaving spreadsheets behind.

- Test loads and record-count reconciliation before the real cutover
- Duplicates, formats and ownership fixed before data goes in
- Rollback plan and a frozen source copy, so nothing is ever lost
Typical causes of a failed migration
A new CRM is only as good as the data in it. The common failure is simple: the old export is uploaded as it is, duplicates and half-filled records come along, owners are mapped wrongly, and three months later the sales team has stopped trusting the system.
The software gets blamed for a data problem.
Migration is a small engineering project with its own risks. Fields that look similar do not always mean the same thing. A status called Hot in one system may map to two stages in another. Dates arrive in different formats, phone numbers come with and without country codes, and attachments live in a place no export touches. Someone has to decide what to keep, what to merge and what to leave behind.
We treat it that way: as a planned job with a written mapping, test loads, checks and a sign-off. If you want the short version of the method, our CRM data migration checklist covers it. This page covers what we do for you.
Migration also gives you a rare chance to simplify. Fields nobody uses, stages that overlap and picklists with forty near-identical values can be tidied on the way in. Doing it during the move is far cheaper than doing it after the team has built habits around the mess, so we raise these questions at the mapping stage and let you decide.
Migration work we carry out
Each project uses the relevant parts of this list.
- Source inventoryA list of every place customer data lives: old CRM, spreadsheets, email contacts, WhatsApp exports, accounting software.
- Data auditCounts, empty fields, duplicate clusters, invalid emails and phone numbers, and records with no owner.
- Field mapping documentSource field, target field, transformation rule and owner for every item, signed off by you.
- Cleaning and standardisingName casing, phone formats with country codes, country and city values, picklist alignment.
- DeduplicationMatching rules on phone, email and company name, with a review queue for uncertain cases.
- Test migrationA full load into a sandbox or trial instance so your team can inspect real records.
- Final cutoverFrozen source, delta load of recent changes, reconciliation and a go-live checklist.
- ArchiveA secure copy of the original data and a record of what was changed or excluded.

Timeline from audit to cutover
The dates depend on volume and source quality. The order does not change.
- Discovery and auditWe study source systems and sample data, then report on quality and risks in plain terms.
- Mapping and rulesTogether we decide what maps where, what is dropped and how statuses translate to new stages.
- CleaningAutomated scripts handle bulk fixes; unusual cases go to your team for decisions.
- Sandbox load and reviewRecords load into a test environment and users check accounts they know well.
- Fixes and second loadIssues from review are fixed in the rules, not patched by hand, and the load is repeated.
- Cutover and verificationA short freeze, a final load, record-count checks and sample audits, then access is switched on.

Privacy, access and the days around cutover
We work with minimal copies, store them in controlled locations, and delete working files at the end of the project by agreement.
For cutover, we recommend a short change freeze, a clear message to the team about which system is live, and one person who handles questions on the first morning.
After a few weeks, once users confirm nothing is missing, it is archived properly.
Because we serve clients in the USA, UK, UAE and other markets from Lahore, we can schedule the final load in your off-hours while our team works a day shift, which keeps downtime out of your trading day.
Mistakes that cost the most later
We have seen each of these more than once.
- Importing without a test runErrors discovered in production are far harder to undo.
- Dropping owner and date fieldsReports and commissions lose their meaning.
- Importing duplicates on purposeMerging them afterwards damages history.
- Forgetting consent flagsUnsubscribed contacts receive messages again.
- No named reviewerWithout a business owner checking samples, errors pass unnoticed.
Source and target combinations we handle
Typical routes. Tool availability and import limits vary by platform, so we check the current documentation for each project.
From | To | Typical method |
|---|---|---|
Excel or Google Sheets | Zoho, HubSpot, Salesforce | Cleaned CSV and native import tools |
Older CRM export | CSV with relationship mapping, API for notes | |
Any CRM | Data Loader or API scripts with external IDs | |
Custom database | Custom or packaged CRM | SQL extract, transform scripts, API load |
Multiple branches' files | Single new CRM | Merge rules and owner mapping |
Factors that change the effort
We quote after the audit because the data decides the work.
Record volume
More records mean longer test cycles and more review samples, not just a longer load.
Number of sources
Each additional spreadsheet or system is another mapping and another set of quirks.
Duplicate level
Heavy duplication means more matching rules and manual review.
Relationships
Contacts linked to companies, deals and activities need careful ID handling to keep links intact.
Attachments and notes
Files and long notes often need separate export routes and storage planning.
Custom logic
Status histories, calculated fields and old automations need rebuilding, not just copying.
Cases for leaving old data behind
Five years of cold leads rarely help a sales team and they inflate the cost of cleaning.
Moving data into a CRM that still has the wrong stages and fields just means you migrate twice.
If the new system is not built, begin with custom CRM development or configuration first, and bring us in when the structure is stable.
Proof by method: reconciliation you can audit
After every test and final load we produce a reconciliation sheet: records in the source, records excluded and why, records loaded, records rejected and fixed. You can spot-check any of them.
We commit to a documented process, visible numbers and a rollback route.
Afterward, CRM automation and workflows can use the clean data to run reminders and routing.

Frequently asked questions
Straight answers before you get in touch.
Will we lose any data during migration?
Nothing is deleted from the source. We keep a frozen copy, record what is excluded and why, and reconcile counts after each load. Some fields may have no equivalent in the new system, so we agree in advance where that information will live.
Can you migrate notes, emails and attachments?
Often yes, though the route depends on both platforms. Notes can usually move by API or export. Attachments and email history are harder and sometimes better archived outside the CRM. We confirm what is feasible during the audit.
How long will our team be without the CRM?
Usually a short freeze at final cutover while the last changes are loaded and checked. We schedule it for a quiet period, and your team keeps working in the old system until the switch.
Can we migrate from spreadsheets with messy columns?
Yes, and that is the most common case. We standardise columns, split combined fields, fix phone formats and merge duplicates before import. Expect questions from us about unclear values.
Do you handle user and owner mapping?
Yes. Records need the right owner in the new system, so we map old users to new ones, handle people who have left and agree where unassigned records go.
Can migration happen alongside a new CRM build?
That is a common pairing. The data model is designed first, then the import is built against it, and testing covers both together.
What do you need from us to start?
A list of where customer data lives, read-only access or exports from those systems, a person who understands the data, and a decision-maker for rules such as what to archive. A small sample is enough for a first estimate.
