Real estate CRM development that keeps every inquiry, plot and instalment in one place
We build real estate CRM systems for agencies, developers and housing project sales teams, linking portal and social leads to inventory, site visits, bookings and payment schedules. It suits companies where leads are lost between WhatsApp chats, agent notebooks and spreadsheets.
By Junaid Tariq · Reviewed October 2026
- Leads from portals, Meta forms and WhatsApp land in one pipeline with a named agent
- Inventory, booking and instalment tracking live next to the buyer record
- Owner dashboards that show agent follow-up discipline, not just closed deals
The problem property teams actually have
A property sales office is a high-volume, high-value, high-chaos business. Hundreds of inquiries arrive from classified portals, Facebook and Instagram forms, billboards and referrals.
Agents answer from personal phones. A buyer who asked about a five marla plot on Tuesday is called by two different people on Thursday, and the one who actually visited the site has no record of it anywhere.
A generic CRM handles the first part of this, capturing a lead and assigning it. It struggles with the second part, which is where real estate differs from most selling: the product is a specific unit with a status, the price comes with a payment plan, and the sale does not end at booking because instalments run for months or years. Real estate CRM development means modelling that reality directly.
If you want the feature list first, read our guide to real estate CRM features every agency needs. This page explains what we build and how we deliver it.
Modules in the system
Modules are chosen with you. These are the ones property businesses ask for most.
- Multi-source lead capturePortal inquiries, Meta lead forms, website forms, WhatsApp and manual entry, de-duplicated by phone number.
- Assignment rulesRound robin, by project, by city or by agent workload, with reassignment if nobody responds in time.
- Inventory managementProjects, blocks, plots, apartments or shops with size, status (available, held, booked, sold) and price list.
- Site visit schedulingVisit bookings, reminders to agent and buyer, outcome notes and transport logs.
- Booking and payment plansToken, down payment and instalment schedules with due dates, receipts and overdue lists.
- Agent and team performanceCalls made, follow-ups done, visits held and bookings closed, by agent and by team.
- Commission trackingRules for agent, team lead and referral commissions calculated from confirmed payments.
- DocumentsBooking forms, allotment letters and CNIC copies stored against the buyer with access control.
Why trust this team with your build
For Real Estate CRM Development, projects live or die on maintainability. Here is what stands behind the delivery.
Hands-on experience
500+ websites and web applications delivered over 18+ years for clients in 48 countries, the experience behind your Real Estate CRM Development project.
Certified expertise
For Real Estate CRM Development, engineering is planned together with SEO, speed and reporting, so what ships is findable, fast and measurable rather than just finished.
Recognised work
Led by Junaid Tariq, a National Level Award Winner in Digital Marketing who also builds WordPress plugins, CRMs and web applications. See the about page.
Transparent by default
A written scope and milestones before build, code and documentation handed over at the end and hosting or domain accounts kept in your name.
Built around local market habits
Pakistani property sales have their own rhythm, and the software should respect it.
WhatsApp first
Most buyer conversations happen on WhatsApp. We log them against the lead through the official business platform. See WhatsApp CRM integration.
Cash and cheque realities
Payments are often received in mixed forms and confirmed later. Receipts and status changes need an approval step, which we build in.
Overseas buyers
Many buyers live in the UAE, UK or USA. Time zone aware follow-up lists and currency fields keep their pipeline separate.
Agent turnover
Agents move between agencies. Records belong to the company, and access can be removed in one action.
Urdu and English
Interface labels, notes and message templates can support both languages.
Unreliable internet
Lightweight screens and sensible caching so a site-office connection does not stop a booking.

From site visit to live system
We deliver in stages so your sales office keeps selling throughout.
- Sales process reviewWe trace a lead from first inquiry to final instalment, interview agents and managers, and list where records disappear.
- Data model and prototypeProjects, units, payment plans and roles are designed and shown as a clickable prototype for your approval.
- Core releaseLead capture, assignment, follow-ups and inventory go live first, because that is where daily value is.
- Booking and accounts modulesPayment plans, receipts, overdue tracking and commissions follow once the core is stable.
- Import and trainingExisting leads and unit lists are cleaned and imported. Agents get short, practical sessions in their own language.
- Review and refineAfter a few weeks of use we study adoption, remove clutter and plan the next improvements.
Reports an owner opens every morning
Which leads arrived overnight and were they contacted? Which agents have follow-ups overdue? Which units are on hold and for how long?
If those answers need three phone calls and a spreadsheet, the system is not finished.
Hold expiry on a plot, for instance, should release the unit automatically or alert the manager, so inventory is never blocked by a forgotten promise.
When leads carry their source and campaign, you can compare ad channels by site visits and bookings instead of raw form counts.
Systems the CRM connects to
Integration scope is agreed per project. These are the common ones.
Meta lead forms
Facebook and Instagram form leads delivered to the pipeline within moments and tagged by campaign.
Website and landing pages
Project pages with inquiry forms that create leads with the right project and source attached.
WhatsApp Business Platform
Template messages, inbound chats and agent hand-offs recorded against the lead.
Accounting software
Confirmed payments exported or synced so finance and sales work from the same figures.
Telephony
Click-to-call and call logging where your provider offers an API.
Email and calendar
Visit schedules and follow-ups appear in the agent's own calendar.
Choosing between build and buy
An honest comparison for property businesses.
Option | Fits when | Watch out for |
|---|---|---|
Packaged CRM with custom fields | Small team, simple leads, no instalment tracking | Inventory and payment plans become awkward workarounds |
Real estate CRM product | Standard agency workflow, no unusual rules | Per-user cost, limited control over local payment logic |
Custom build (this service) | Developer or large agency with projects, plans and commissions | Needs a decision-maker for scope and a handover plan |
Extend an existing CRM | You already use Zoho or similar | Plugin limits on inventory logic |
Spreadsheets plus WhatsApp | Very early stage | Lost leads, no audit trail, no manager visibility |
Pricing the project fairly
What drives the quote is concrete.
The number of projects and unit types, the complexity of payment plans, the number of agent and manager roles, the integrations you want at launch, whether commissions need rule-based calculation, and how much historical data has to be cleaned and imported.
A developer with several housing schemes, phased payment structures, an in-house accounts team and a network of dealers is a much larger one.
After a short discovery call you receive a written scope, a release plan and a quote you can compare against buying a licensed product.
If you want a second opinion first, our CRM development services team will review what you already have and suggest the cheapest sensible route.
Before you brief a developer
Gather these and the first conversation becomes much shorter.
- A list of projects and unit typesSizes, categories and current availability, even if it lives in a spreadsheet.
- Sample payment plansTwo or three real ones, including token, down payment and instalment structure.
- Lead sources and volumesWhere inquiries come from today and roughly how many arrive in a typical week.
- Team structureAgents, team leads, managers, accounts staff and what each should see.
- Current pain pointsThree real examples of leads or payments that were lost or confused.
Situations that call for something else
A well-configured packaged CRM, or even disciplined use of a shared sheet, will do the job. We will say so on the first call.
If every agent runs leads differently and nobody has decided what a qualified lead is, software will only make the disagreement visible.
Settle the process first, using our sales CRM development guidance if you want help, then automate it.
If your problem is too few inquiries rather than too many lost ones, start with real estate marketing and bring us in when the leads arrive.
Measuring the result without invented numbers
We agree a few measurable outcomes at the start: time from inquiry to first call, percentage of leads with a recorded next action, site visits per lead, and overdue instalments visible to the accounts team.
If your ad spend feeds the CRM, we can report cost per site visit and per booking by source, which links the sales office to the campaigns behind it.
Connected ad management is covered in our CRM development services pillar, and the real estate app development service covers buyer-facing apps.

Frequently asked questions
Straight answers before you get in touch.
Can the CRM pull leads from Zameen.com and Facebook?
Facebook and Instagram lead forms can be connected through their official integrations. For property portals, it depends on what the portal offers: email parsing, an export or an API. We confirm the available route for each source during discovery rather than promising a connection that may not exist.
Does it handle instalment plans and overdue reminders?
Yes. We model the payment schedule per booking, record each received amount, mark overdue items and can send reminders by WhatsApp or SMS using approved templates. Receipts follow an approval step so accounts stays in control.
Can agents use it on their phones?
The system is a responsive web application, so agents can log calls, update statuses and see their follow-up list on a phone browser. A dedicated mobile app is possible if your team needs offline access, and we would scope it separately.
How do you stop agents from taking leads with them?
You cannot stop a person remembering a phone number, but you can control exports, hide contact details until a lead is assigned, log views and remove access immediately when someone leaves. All records stay under company ownership.
Can the CRM support a housing society project and a brokerage together?
Yes. Projects, teams and price lists are separate objects, so one installation can serve multiple projects or business units with different access rules.
Do you build for developers outside Pakistan?
Yes. We work with clients in the UAE, UK, USA and other markets, and can adapt currencies, languages and local sales stages. Delivery is remote with regular calls in your time zone.
What mistakes do real estate teams make when adopting a CRM?
The common ones are importing every old lead without cleaning, giving agents too many mandatory fields, and skipping manager follow-through. If managers review the CRM weekly and agents see it saves them time, adoption holds. If it is only a reporting tool for the owner, it fails.
