CRM automation & workflows that stop leads from sitting unanswered
We design and build CRM automation & workflows, the rules inside your CRM that assign leads, create tasks, send messages, escalate delays and update records, so routine steps happen on time without someone remembering. It suits teams where good leads go cold because follow-up depends on memory.

- Lead routing and escalation rules based on your real sales process
- Reminders, approvals and messages triggered by stage changes
- Every automation documented, logged and easy to switch off
Automation is a process decision first
The most expensive CRM automation is the one built on a process nobody agreed. If a lead should be called within an hour, someone has to say so, name who calls, and decide what happens when they do not.
Only then can software enforce it. Before we touch a workflow tool, we write the rule in plain language and check it with the people who will live with it.
The reward is real. A lead from an ad form is assigned in seconds, the owner gets a task and a notification, a manager is alerted if nothing happens, and the customer receives a prompt acknowledgement. None of it needs a human to remember. Nothing in it replaces human judgement, either. Good automation handles the repeatable steps so people can spend their time on conversations.
We work inside the tools you already use, such as Zoho, HubSpot, Salesforce or a custom system, and add external automation with webhooks, scheduled jobs or services like Zapier, Make or n8n where it helps. The right choice depends on volume, reliability needs and who will maintain it.
Document the escalation ladder before building it: who is alerted first, who second, and what counts as resolved. When the ladder is written down, arguments about fairness happen in a meeting instead of after an automatic alert goes to a surprised manager. We usually run the rules in notify-only mode for a week, review the alerts together and only then switch on the escalations that change who owns a record.
Workflows teams ask for most
A good starting set, each of which can be built and tested on its own.
Lead routing
New leads go to an owner by source, city, product or workload, with a fallback if nobody is available.
Speed-to-lead alerts
Owner and manager are notified instantly, with escalation if there is no logged contact within the agreed time.
Stage-based tasks
Moving a deal to Proposal Sent creates a follow-up task for two days later without anyone typing it.
Quotation approvals
Discounts or special terms go to the right approver and return with a decision recorded.
Customer messaging
Acknowledgements, reminders and updates via email or WhatsApp. See WhatsApp CRM integration.
Cleanup rules
Stale deals flagged, duplicate leads merged, missing fields requested before a deal can advance.

Automation work packages
Scope is agreed workflow by workflow, with each one documented.
- Process mappingCurrent steps, delays and hand-offs written down, with the rules agreed with your team.
- Automation blueprintA list of every trigger, condition and action before building starts.
- Build and testWorkflows created in a test environment with sample records and edge cases.
- Error handlingWhat happens when a rule fails, when data is missing or when two rules conflict.
- MonitoringLogs and alerts so failed automations are noticed, not discovered weeks later.
- DocumentationA readable catalogue of every workflow, its owner and how to disable it.
- TrainingShort sessions so managers know what the system does automatically and what is still manual.

From manual follow-up to reliable routines
We introduce automation in small batches so each change can be judged.
- Find the leaksWe review where leads wait, tasks are forgotten and reports are assembled by hand.
- Rank by value and riskQuick, low-risk automations come first. Complex approvals or customer-facing messages wait for testing.
- Build the first setTypically routing, alerts and stage tasks, because they are visible and low-risk.
- Observe for two weeksWe watch logs, ask users what felt wrong and adjust conditions.
- Add messaging and approvalsCustomer-facing and money-related rules follow once the foundations are trusted.
- Review quarterlyBusiness changes, so workflows need pruning. We remove those that no longer match reality.
Escalations, SLAs and managers who see problems early
A lead untouched after an agreed period triggers a reminder to the owner and then a message to the team lead.
A deal stuck in one stage appears on the weekly review list.
Thresholds belong to management, not to us, so they sit in settings instead of buried in code.
For field and sales teams in Pakistan, where much of the follow-up happens on phones and WhatsApp, the rules push alerts to the channels people actually check, and the CRM records the outcome when an agent replies.
Mistakes we avoid when building workflows
A short list drawn from reviewing messy automation setups.
- Rules that overlapTwo workflows updating the same field cause hard-to-trace bugs.
- No off switchEvery workflow needs a clear way to pause it.
- Alert fatigueToo many notifications train people to ignore them all.
- Hidden logicRules known only to the person who built them become a liability.
- Messaging without consentAutomatic customer messages need opt-in and a way out.
Automation tools and their limits
We pick the simplest tool that is reliable enough.
Tool type | Best for | Limit to know |
|---|---|---|
Built-in CRM workflows | Field updates, tasks, alerts inside one CRM | Depth varies by plan, so check current features |
Flow tools (e.g. Salesforce Flow) | Complex logic inside the platform | Needs governance to avoid overlap |
No-code connectors | Linking forms, sheets and apps quickly | Task limits, monitoring, vendor dependency |
Self-hosted workflow engine | High volume, cost control | Needs hosting and upkeep |
Custom code and queues | Unusual rules, scale, custom CRM builds | Higher build effort, full control |
Cases where automation makes things worse
If leads are not qualified, an instant auto-reply to every one of them just spreads the problem. If your data is dirty, rules based on city or source will misroute.
When three people sit in one room, a shared board and a daily meeting may do the job.
Proof by method: knowing it works
For lead routing, that is the share of leads with an owner inside the agreed time. For reminders, tasks completed on schedule. For approvals, the time a request waits.

Frequently asked questions
Straight answers before you get in touch.
What should we automate first?
Start with lead assignment, a response-time alert and one follow-up task per stage. They are visible, easy to test and carry little risk. Customer-facing messages and approvals should come after you trust the data.
Can automation send WhatsApp or email follow-ups?
Yes, within consent and platform rules. Email can be triggered from CRM events, and WhatsApp needs the Business Platform with approved templates and recorded opt-in.
What if an automation breaks or misfires?
We build logging and alerts, so failures are visible, and each workflow can be switched off individually. Critical rules are tested with edge cases before release.
Do we need Zapier or Make, or is the CRM enough?
Often the CRM alone is enough for internal rules. External tools help when you connect forms, sheets, accounting or other systems. We recommend the simplest option that is reliable for your volume.
Can you automate an existing CRM we did not build?
Usually. If the platform offers workflows, webhooks or an API, we can build on it. We start with a review of your setup to avoid conflicts with existing rules.
Who maintains the workflows afterward?
You can, with our documentation and training, or we can handle changes under a support arrangement. Either way every workflow has a named owner on your side.
Does automation need a developer or can an admin manage it?
Most internal rules can be managed by a trained CRM admin using the built-in tools. External integrations and custom logic need a developer. We separate the two in the design so day-to-day changes stay with you.
